Have AI analyze your editing patterns and automatically create a personalized document template that matches your preferred style.
Transcribe Health can study how you edit your clinical notes and create a personalized template that matches your style. If you consistently reorganize sections, add specific headings, or use particular phrasing, the AI picks up on those patterns and suggests a template you can use going forward.
Prerequisites
- A Professional plan or higher (this is an AI feature)
- At least 5 signed documents that you've edited after AI generation
The system compares your original AI-generated notes with the final versions you signed. It needs enough examples to identify consistent patterns, so make sure you've edited and signed at least 5 documents before trying this feature.
How it works
1. Open the Templates page
Navigate to Templates in the sidebar. At the top of the page, you'll see a banner labeled Learn My Format with a purple sparkle icon and a description that says "AI analyzes your editing patterns to create a personalized template."
2. Click Analyze My Notes
Click the Analyze My Notes button. The AI will look at up to 15 of your most recent signed documents that had edits, comparing the original generated content with your final version.
The analysis takes a few seconds. You'll see a spinner while it processes.
3. Review the suggested template
After the analysis completes, the banner updates to show your suggested template. You'll see:
- Template name chosen by the AI based on the patterns it found
- Confidence score showing how strong the detected patterns are. A green badge (80%+) means the patterns are very consistent across your documents. An amber badge means the patterns are present but less uniform.
- Pattern summary describing what the AI found (for example, "Consistently places Medications before Assessment, adds Risk Assessment section")
- Source count showing how many edited documents were analyzed
4. Preview the template
Click Preview template to expand a preview of the suggested template content. This shows you the exact structure and placeholder sections the AI derived from your editing patterns. Click Hide preview to collapse it again.
5. Accept or dismiss
You have two options:
- Create Template saves the suggestion as a new template in your organization's template library. You can then select it when generating new documents, and the AI will use your preferred structure from the start.
- Dismiss removes the suggestion without creating a template. The banner returns to the initial state, and you can run the analysis again whenever you want.
After accepting a template
Once you accept a suggestion, the new template appears in your template list alongside any existing templates. You can:
- Select it when generating documents from a session
- Add it to the auto-generation queue
- Edit it further in the template editor if you want to fine-tune the structure
Tips
- Edit and sign more documents first. The more examples the AI has, the better the suggested template will be. Five is the minimum, but 10-15 signed documents give much better results.
- Be consistent in your edits. If you restructure your notes differently every time, the AI won't detect a clear pattern and the confidence score will be low.
- Dismiss and try again later. If the suggestion doesn't look right, dismiss it, edit a few more documents in your preferred style, and run the analysis again.
- One suggestion at a time. The system keeps one pending suggestion per user. If you already have a suggestion, clicking "Analyze My Notes" shows the existing one rather than creating a new analysis.
Frequently asked questions
How many documents does it analyze? Up to 15 of your most recent signed documents that had edits after AI generation.
What if I have fewer than 5 edited documents? You'll see a message that you don't have enough edited documents yet. Keep using the platform and sign more notes, then try again.
Does it work across organizations? Each organization has its own template library, and the analysis uses documents from the organization you're currently viewing.
Can I edit the template after accepting it? Yes. Accepted templates behave like any other template in your library. You can modify them in the template editor at any time.
Is my data used to train the AI? No. The analysis runs on-demand using your documents only. Nothing is stored beyond the suggestion itself, and dismissed suggestions are discarded.
